Summary only. For paying business customers, the executed Master Service Agreement and Order Form (via DocuSign) control data processing, subprocessors, and security commitments. This page summarizes website and platform privacy for prospects, pilots, and evaluation access.

EZ4YouTech.com respects your privacy. This policy describes how we handle information when you use our Website (www.ez4youtech.com) and Secure AI Platform (aiplatformusa.ez4youtech.com).

Website is our public marketing site. Secure AI Platform is the hosted software-as-a-service workspace (application programming interface backend and Next.js user interface) where your organization runs plan-based AI applications with tenant isolation.

Information we collect

• Account and tenant data at signup (name, work email, organization, role, plan tier). Each workspace has a company admin for setup and separate app user logins; the admin does not count toward plan app-user limits.
• Documents, inputs, and outputs submitted through Secure AI Platform applications
• Usage metadata (timestamps, plan limits) for billing and operations
• Website contact form submissions, protected by Cloudflare Turnstile
• Lead and marketing inquiries: intake forms (online or paper transcribed by our team), demo requests, event booth sign-ups, and partner-attributed referrals (name, work email, phone, company, industry interest, provider account readiness whether you already have a paid AI provider account to connect, and consent choices)
• Standard web logs via hosting, CDN, and edge protection

Quick Checkups (free website tools)

Quick Checkups are free, no-login tools on the Website at /initiatives/ (Website Quick Check, Email Deliverability Check, SSL Expiry Check, AI Provider Readiness, Industry Workflow Fit, and related pages).

• Scan inputs: You may submit a public website address or domain name. We send that input to our Secure AI Platform API. Website Quick Check also sends the normalized URL to Google PageSpeed Insights (Lighthouse lab data). We block private, local, and internal addresses.
• Server caching: Scan results may be cached in server memory briefly (typically up to 24 hours for website scans and about 1 hour for domain or certificate checks). We do not store Quick Checkup inputs or results in our customer database unless you separately contact us.
• Rate limits: We apply per-network rate limits and may log IP addresses for abuse prevention under our standard API logging practices.
• Your browser: Quiz answers and scan summaries may be stored in your browser session (for example sessionStorage) so you can copy results or prefill a contact form. We do not receive quiz answers unless you send them to us.
• Contact follow-up: Requesting a full report, fix call, or demo may prefill a contact message you can edit first. Do not include passwords, payment card numbers, or other sensitive data in scan fields or messages.

Lead and marketing inquiries

When you submit a lead intake form, contact us about a pilot, or sign up at an event, we collect business contact details and qualification answers so we can follow up. We use this information to schedule demos, send registration links when you are qualified, and communicate about EZ4YouTech.com products. We do not create a Secure AI Platform tenant account from a lead form alone.

• Consent: Online forms require an explicit marketing-contact checkbox linked to this Privacy Policy and our Terms of Service. Paper forms use checkbox plus signature where collected in person.
• Partners: If a marketing partner referred you, we store partner attribution so the partner can follow up on their referred leads. Partners may access only leads attributed to them in the partner operations workspace.
• Retention: Active lead records are kept while we are in contact with you. Non-converted leads are archived or deleted after approximately 24 months, unless a longer period is required by law or an active sales conversation.
• No sale of data: We do not sell lead or prospect information.
• Marketing opt-out: Reply unsubscribe to a marketing email from us, or email connect@ez4youtech.com, to stop promotional messages. We may still send transactional messages about an active pilot or account.

Bring Your Own Subscription and customer data

Bring Your Own Subscription means you connect your own third-party AI provider account (for example OpenAI, Together, Groq, or xAI) and pay that provider directly. We encrypt your subscription credentials at rest and use them only to route your requests. We do not sell customer data or use your content to train public models. Third-party AI providers govern inference data under your agreements with them.

Connected mailbox and email

When a company admin connects a mailbox in Company setup (Gmail or Microsoft 365 via OAuth, or Any Mailbox via SMTP/IMAP credentials the admin provides), we store encrypted connection secrets so your team can send email you review and approve in the workspace. By default this is send-only: we do not read your mailbox unless your organization enables the Email Connector module (Enterprise or as ordered).

If inbox sync is enabled, we may read up to 25 recent inbox messages per sync batch you start in the workspace (Microsoft Graph, Gmail API when verified, or IMAP for Any Mailbox). Disconnect in Company setup removes stored tokens or SMTP/IMAP credentials for that connection.

Imported and synced message content stays in your tenant workspace until archived. Archived batches are typically removed after about 90 days, unless law or your contract requires longer retention.

Workspace retention and controls

• Run history caps: Workspace history uses plan-tier hybrid retention: we keep saved files, document analyses, and app runs while they are among your most recent items or within your plan’s day window (whichever keeps more). Starter Free: up to 25 runs or 21 days per tool and 15 saved files or analyses. Standard and above: longer run, day, and file caps (see pricing).
• Workflow resume: Multi-step daily task progress (workflow labels, branch choices, and output previews used to resume work) is stored as part of app run history and follows the same caps and purge controls.
• Session-only compare: Policy quote compare and similar flows do not keep a long-term file vault in workspace storage.
• Your controls: Agents can clear their own files, analyses, runs, email import history, and reminder CSV history. Company admins can purge org-wide workspace data from Company setup; accounts, billing, and OAuth connections stay unless separately removed.
• After cancellation: Deactivated workspaces are retained per this policy for backup and legal compliance, then purged with advance notice by email where practicable.

Google user data (Gmail API)

This section applies when a company admin connects Google Gmail to the Secure AI Platform using Google OAuth (for example the gmail.send scope). It does not apply to optional Google Analytics 4 cookies on the public Website, which are described under Cookies and analytics and are unrelated to Gmail connection data.

How we use Google user data

We use Google user data only to provide and improve user-facing features of the Secure AI Platform that your organization enables, including:

• Authenticating and maintaining your Gmail connection in Company setup
• Sending email messages that authorized users review and approve in the workspace (from your connected Gmail address)
• Generating AI-assisted email drafts when you run those features on content you supply (using your Bring Your Own Subscription AI provider)
• Securing, troubleshooting, and improving these connected-mailbox features

We do not use Google user data for advertising, retargeting, interest profiling, creditworthiness, selling leads, or any purpose unrelated to providing or improving the application's functionality for your organization.

Sharing, transfer, and disclosure

We do not sell Google user data.

We may share, transfer, or disclose Google user data only as follows:

• Infrastructure subprocessors (under contract and confidentiality obligations) that host and secure the Platform, such as Microsoft Azure (application hosting, Key Vault, Blob Storage), MongoDB Atlas (tenant-scoped metadata and workspace storage), and Azure Front Door. These providers process data solely to operate the service on our instructions.
• Your chosen AI provider (Bring Your Own Subscription) when an authorized user runs an AI drafting or email feature that sends message content for inference. You pay that provider directly; its policies govern inference. We do not use Gmail data to train public models.
• Legal and safety when required by applicable law, valid legal process, or to protect rights, safety, and security.

We do not share, transfer, or disclose Google user data to:

• Advertising networks, analytics platforms (including Google Analytics on our marketing Website), or data brokers
• Marketing partners, referral partners, or list builders for their independent use
• Any third party for purposes other than providing or improving user-facing application functionality as described above

Retention and control

Encrypted OAuth tokens and related connection metadata are kept while the connection is active and removed when an administrator disconnects Gmail or deletes workspace data. Message content you import or generate in the workspace follows the retention described above for connected mailbox data. Administrators can disconnect Gmail in Company setup and use workspace data controls to clear tenant content.

Google API Services User Data Policy

EZ4YouTech.com's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

The use of raw or derived user data received from Workspace APIs will adhere to the Google User Data Policy, including the Limited Use requirements.

Live chat

Website live chat is for general product questions. If you choose to submit personal information, passwords, payment card numbers, or other sensitive information in chat, you do so at your own risk. EZ4YouTech.com is not responsible for harm arising from personal or sensitive information you voluntarily submit in live chat. Guidance about what not to submit appears in the live chat interface on our contact page.

Cookies and analytics

When you use the Website, we may store a small amount of information in your browser.

• Theme preference (essential): If you change light, dark, or system theme, we save that choice in your browser so the site looks the same on your next visit. This does not require analytics consent.
• Analytics cookies (optional): If you click Accept All on our cookie banner, we load Google Analytics 4 (GA4) on the public Website only to collect aggregated marketing-site usage (pages viewed, general traffic sources, button clicks). GA4 does not receive Gmail API data or Secure AI Platform workspace content. GA4 does not run unless you accept. If you click Essential Only, we do not load GA4 on that browser unless you clear site data and choose again.
• Change your choice: Clear cookies and site data for www.ez4youtech.com in your browser settings to see the banner again.

We use analytics only to improve the public Website and measure marketing effectiveness. Website analytics data is separate from Google user data received through Gmail API connections on the Secure AI Platform. We do not sell analytics data.

Subprocessors and hosting

Data is primarily processed in the United States using infrastructure such as Microsoft Azure (Container Apps, Key Vault, Blob Storage), MongoDB Atlas, Amazon SES (contact and transactional email), Stripe (platform subscription billing), DocuSign (electronic signatures for business customers), Cloudflare Turnstile (Website forms), Google PageSpeed Insights (Website Quick Check lab scans), Google Analytics 4 (Website analytics when you accept), and Azure Front Door. A current list is available on request.

Security

We use Transport Layer Security (TLS) encryption in transit, encrypted Bring Your Own Subscription credentials, tenant-scoped storage, JSON Web Token (JWT) based access control, httpOnly session cookies, and idle session timeout on the workspace user interface. We describe an enterprise-ready architecture; we do not claim SOC 2, ISO 27001, or HIPAA unless agreed in a signed contract. See Platform security overview.

Age restriction

Services are prohibited to individuals under 18 years of age. By using the Website or Secure AI Platform, you certify that you are 18 or older. If you misrepresent your age, liability rests with you.

Your rights

Depending on your location, you may have rights to access, correct, or delete certain data. Contact us below. We do not sell personal information as defined by applicable privacy laws.

B2B subscriptions are governed by our Master Service Agreement and Order Form in addition to this summary.
